Organizational Roles
The following are the organizational roles required to plan and execute our performing arts activities. Whereas some roles here have a high level of responsibility on the night of performances, these roles are predominantly worked on days when no shows are occurring. These roles are the true unsung heroes that make the show nights possible and give the community this activity to coalesce around.
There are three groups and each is led by one of three Senior Leadership positions.
Cast Direction
Cast Director
Part of the cast’s Senior Leadership. Accountable to the PVSA Board. Provide artistic direction for the show. Owns recruitment and actor development. Coordinates and runs rehearsals. Has final decision authority for stage blocking, show interpretation, and casting for all shows. Oversees activities of Assistant Director, Training Lead, Casting Supervisor, Pre-Show Coordinator, Cast Morale Captain.
Assistant Cast Director
Provides support to the Director. Administrative tasks as assigned. Coordinates scheduling for rehearsals. Facilitates communication with cast members.
Training Lead
Coordinates the various cast members capable of and interested in training the various roles. Responsible for ensuring there is a point of contact adequate to train each and every stage role and helping other cast members learn them. Required to teach choreography to cast members and may be required to call and run additional rehearsals to practice choreography and give notes to cast members at the Director’s discretion.
Casting Lead
Responsible for determining cast availability and creating proposed casting lists for the Cast Director’s approval.
Pre-Show Coordinator
Responsible for ensuring pre-shows are being developed and coordinated to be ready for shows a minimum of one month before the show date. They will identify interested cast members and facilitate these efforts with activities including but not limited to brainstorming sessions.
Cast Ombudsperson
The ombudsperson is a neutral party and point of contact for cast members to reach out to with issues or concerns. The ombudsperson is responsible for investigating complaints and attempting to resolve them, usually through recommendations or mediation. The Ombudsperson primarily coordinates with the Cast Director, but is accountable only to the PVSA Board.
Technical Direction
Technical Director
Part of the cast’s Senior Leadership. Accountable to the PVSA Board. Oversees all the technical aspects of the production. Works closely with the Cast Director to help create the mood of the production and be sure that the actors will be safe, seen, and heard. Coordinates the activities of the Stage Manager, Set Lead, Lights Lead, Audio/Visual Lead, Wardrobe Lead, Stagehand Lead and Makeup Coordinator.
Stage Manager
During the show, the stage manager is responsible for overseeing each performance and has final decision authority. The stage manager is in charge of every scene change and is expected to be sure that all actors are where they need to be at all times.
Set Lead
Responsible for organizing and keeping tabs on all set pieces that the cast owns. Also responsible for conceiving of and coordinating the creation of new set pieces and props that will work well in the performance space and help create the Cast Director’s vision.
Lights Lead
Responsible for organizing and managing lighting equipment. Responsible for developing and training cast members on the proper handling and proficient usage of lighting equipment. Responsible for ensuring that all areas of the stage and the performers are visible at the right times, to set the mood, and to direct the audience’s attention all in support of creating the Cast Director’s vision.
Audio/Visual Lead
Responsible for organizing all of the audio and visual content that the cast has created and used. This may include but is not limited to advertising content and pre-show music and videos. Responsible for conceiving of and coordinating the creation of new audio/visual content.
Wardrobe Lead
Responsible for organizing and keeping tabs on all costumery that the cast owns. Responsible for identifying needs to replace or repair existing costumery. Also responsible for conceiving of and coordinating the creation of new costumery that will help create the Cast Director’s vision.
Stagehand Lead
Responsible for organizing, updating and distributing the documentation required to clearly provide direction to cast members assigned to work in the stagehand role. Responsible for training all cast members assigned to work in the stagehand role.
Production
Producer
Part of the cast’s Senior Leadership. Accountable to the PVSA Board. In concert with the Cast Director and Technical Director, work with venues to establish agreements to collaborate on shows. Oversee activities of House Manager, Merchandise Manager, and Marketing Manager.
House Manager
Handle ticket sales and audience management. Works with the Merchandise Manager to coordinate merchandise sales. This role is not a typical reality for CAP. Aside from merchandise sales, we endeavor for all of our shows to be performed at venues that provide these services as part of their normal business.
Merchandise Manager
Responsible for keeping records of merchandise sales. Responsible for working with the PVSA Treasurer to develop and train processes to merchandise sellers to ensure complete and accurate records are kept.
Responsible for managing inventory levels and for coordinating replenishment of low inventory. Responsible for conceiving of and coordinating the proposal for and creation of new merchandise items. Responsible for coordinating with CRAP Kit Manager to ensure appropriate inventory levels are kept.
Marketing Manager
Responsible for keeping the CAP social media pages active. Responsible for coordinating advertising that maximizes the general public’s awareness of our shows while also minimizing financial impact. Responsible for coordinating flyering (or equivalent) activities. Responsible for identifying opportunities for cross-promotion and coordinating with those promotional partners. Responsible for identifying opportunities for local print, radio, or television promotionals that may be available and coordinating those activities.
CRAP Kit Manager
Responsible for coordinating the creation of CRAP Kits to keep an inventory level and also for transporting them to shows.
